How to Upload Files and Set Up Reviews

Introduction

How to set up files for review efficiently, ensure organized collaboration, and keep projects moving smoothly, so everyone on the team is aligned and up-to-date.

Steps to Follow to Upload Files and Set Up Reviews

  • Step 1: Getting Started

Log in to Filestage using your team credentials or accept an invitation from your team lead. Once logged in, you can either click the "New Project" button to create a new project or select an existing project if the files belong to an ongoing one. Be sure to name the project according to the client's specifics to keep files organized and easily identifiable.

  • Step 2: Uploading Files for Review

Within your project, click on "Upload File" to start adding the content. Choose the files you need to have reviewed. Filestage supports various file types, including documents, images, videos, and web pages, allowing you to upload multiple formats as needed. For better organization, if you have multiple files, consider uploading them in stages (e.g., "First Review" or "Final Approval") to streamline the review process..

  • Step 3: Setting Review Stages and Deadlines

Assign deadlines to each review stage to ensure reviewers know when feedback is required, helping to keep the project on track. Additionally, create clear review stages, such as "Draft Review" or "Client Approval," to maintain an organized and efficient workflow.

  • Step 4: Adding Reviewers and Sharing Files

Click "Add Reviewers" to invite team members, clients, or stakeholders to participate in the review process. You can either enter their email addresses manually or select them from your contact list for a seamless invitation.

  • Step 5: Organizing File Versions for Consistent Feedback

If revisions are necessary, click "New Version" next to the original file to upload the updated version. The revised file will appear in a side-by-side view with the original, making comparisons straightforward. Clearly label each version (e.g., “V1 – Initial Draft,” “V2 – Revisions”) to ensure reviewers can easily identify and track the changes made.

  • Step 6: Track Review Progress and Gather Feedback

Monitor the feedback summary to keep track of comments, requests, and approvals as they are submitted, ensuring you stay informed throughout the review process.

A short loom video walkthrough has been included below to make the process even easier to understand.
